Executive Board Meeting Minutes

President Richard Boland brought the meeting to order at 9:05. In attendance: Shirley Waggoner-Eisenman, Ash Tyler, Richard Boland, Charlie Spencer, Becky Dus, Maggie Hoon, Linda Lemieux, Al Smith and Cathie Rod.

The minutes of October 29 with corrections noting Shirley's election as President of NC State MGA were received as information.

Richard thanked all for their efforts in making the Reunion Social such a special event.

REPORTS:

Greenhouse: Ash stated volunteers are needed in the greenhouse to replant grasses and trees received for future plant sales. Charlie will get out an e-mail stating dates and times. The new golf cart has been put to good use and very much appreciated by all MG members.

Treasurer: As of Oct 26, the balance was $18,745.21. Once all bills are paid the balance will be $10,846.48. For 07, the memorial fund line item will be brought back to $1,000. Prize money of $350.00 received at Cape Fear Fair will be deposited.
Signature cards for new treasurer will be done at appropriate time. “Charlie will take Linda's word for this.”

Secretary: A roster of members has been created to easily track attendance at general meetings. The membership will also use this to encourage non attendees by using personal messages.
Discussion of membership cards showing expiration dates might be useful to indicate how many years for which the member has paid dues. Richard will discuss this idea with the Membership chair (Dominique Loewenstein).
Also discussed was the listing of committee chairs - along with those currently listed in the NL - to be written as information for all members.

Vice President: After stating she had nothing to report, Shirley did state the next State Association Executive Board Meeting will be held on January 22, 2007 in Onslow County, (Jacksonville at Extension Center). The State conference will be held in Raleigh in 07 at the MacKinnon Center on the NC State campus. The date is October 8, 9, and 10.

Gardens: Maggie feels everything is going well.

Newsletter: Becky stated the confidence she has in the new editor Joe Laughlin. She is also looking forward to working on other projects. Charlie took note of this statement.

Budget Proposal for 07: The budget committee has suggested several changes to the proposed budget the board received at the October board meeting. This budget will be presented at the general meeting in November for a vote of approval. In particular, funds to purchase trees from the Forestry Service will be placed under plant sales. The amount needed for the contingency fund will be determined when the balance of the 06 budget has completed all payment of bills received. Postage will be kept at $800. Recognition Social will go from $200 to $300. Refreshments for monthly will go from $25 to $40. Liaison will be increased to $500.

MG Coordinator: There may be a need to offer two classes next year because of the amount of interest in becoming a Master Gardener.
The holiday party for December 14 has been planned and invitations will be sent shortly. There will be a special program from 6 - 6:30; ham and turkey with dishes brought by members will be offered.
A new event chairman will be needed for next year.
A Motion was made by Shirley Waggoner-Eisenman that this proposed change be added to Policies and Procedures that is going to be presented at the November 30 meeting. The motion was seconded by Becky Dus, agreed by all and carried.
There will be a Poinsettia and Luminaria festival, which is an Extension wide event, on December 19 - time to be announced. Games, food, luminaria lighting, etc. will be part of the event. MG volunteers are needed to help with this event.

Gifts: Shirley Waggoner-Eisenman made a Motion that a $50 gift certificate, to be taken from gifts and certificates, be given to the Arps who acted as hosts for “Life on the Farm”. In the 07 budget, money will be budgeted under “Life on the Farm” for the appropriate gift to be given next year. Maggie Hoon seconded the motion, agreed by all and the motion carried.

It was suggested by Richard to continue to use Lisa Miner as the BCMGVA web master until a qualified member can be found to take over this position.

Provisions were made for e-mailing and hard copy mailing of the policies and procedures to all members prior to the November 30 general meeting.

The meeting was adjourned at 9:55.
