Executive Board Meeting Minutes

The meeting was called to order by President, Richard Boland at 9:00 am. In attendance: Richard Boland, Shirley Waggoner-Eisenman, Allen Smith, Charlie Spencer, Ash Tyler, and Cathie Rod.
The minutes of October 18, 2007 were accepted as information.
Treasurer, Allen Smith stated a balance of $3,206.14. There have been limited expenses and an outstanding receipt of approximately $10,000 is still due. Since there have been three association parties this year, it was suggested to have more funds in the Social and Holiday party budget item for 08.
In regard to the association website, Al indicated a new member of the BCMGVA might be taking over this responsibility next year. He also mentioned that the association is limited in what actually can be placed on our website as being only association business. General garden issues, facts, etc. belong on the Extension website. Shirley requested the website contain the NL in its hard copy format rather than being broken apart into separate segments. It was also requested that Hot Line stats be listed in the NL and issues concerning the Hot Line be added. These ideas can be discussed with the new website administrator.
Coordinator, Charlie Spencer stated he had e-mailed all members regarding the general meeting date, guest speaker, Holiday party, speaking engagements requested for next year, plant sale dates and dues being due on January 1, 08. He also stated the Extension Festival of Lights will be held on 2 days this December 13 & 14and asked for help from the BCMGVA members.
The greenhouse needs help with ornamental grasses, plants and trees being received for 08 plant sales.
Depending upon the number of people interested in taking the MG class, there may be 2 classes again for 08. Information will go out after Christmas.
Charlie thanked Richard, Shirley and Hilton for filling in with the programs throughout the county in his absence. He also asked if Richard had an 08 schedule for the programs offered at the libraries in southern Brunswick County.
Greenhouse, Ash Tyler informed all that approximately 1,400 plants would be received the week of January 7 and grasses would be received the end of November. Help is needed to ready these plants for the 08 plant sales. The first sale will be April 10, 11 and 12 with the second on May 8, 9 and 10.
The fans in the greenhouse need upgrading to provide better circulation for all the plants.
Currently, consideration for renewing the Restitution program funds is in committee and the continuation of the budget for this program looks favorable.
Vice President, Shirley Waggoner-Eisenman presented a bill for $25 used to put a flier in every tote bag at the 07 NC State MG Conference. It was suggested that money be taken from Travel to pay this bill.
Shirley requested that printed copies of Dick Bir's program for the November general meeting be available for all.
Shirley will offer updates concerning the 08 State Conference at the general meeting on Thursday, November 29. She mentioned that she is looking into more work shops and inviting many Horticultural Agents from NC counties to be part of the 08 conference. There are still many areas needing volunteers. The Tour, Tee-shirt committees have been gathering information. Shirley is working on a vendor contract.
A name that has been suggested for this conference is Tar Heel Gardening. Other suggestions will be accepted. Shirley mentioned that the MG State board meeting is August 11, 08 at Sea Trail and invited members of the BCMGVA to attend.
